Did you receive an email from us?
Did you receive an email from us without knowing us? We explain where your address came from, why we wrote and how to stop it. This is the information article 14 GDPR requires.
Where the address comes from. We only use business details that are already public. The email address comes from your organisation’s own website. Sometimes we find your organisation through a public register or a public industry list. We do not buy address lists and we never guess an email address.
What we keep. Your organisation’s name, town, website and a business email address. Also the name and role of a contact person, if your site shows them. We also note which message we sent when, and if you replied.
Why we may do this. We have a legitimate interest in approaching organisations that fit our product (article 6(1)(f) GDPR). For email to business addresses, article 11.7(3) of the Dutch Telecommunications Act also applies. Did the organisation publish the address itself, so people can contact it? Then we need no prior consent. That is why we only use addresses from your own website. Every message lets you tell us to stop. We take into account that these are business details and only a few messages. We also take into account that one word is enough to stop.
How to stop. Reply with “stop” and you will not hear from us again. We only block the address that replies, not a colleague’s. They may feel differently. Want us to leave your whole organisation alone? Say so and we will.
How long we keep it. We keep these business details while we approach organisations in your sector. If you ask us to delete them, we remove your details from our system. We keep only your email address on an opt-out list. That way, we do not contact you again by mistake.
Your rights. You can object to this email. We always act on that. You can also ask for access, correction, deletion, restriction or transfer of your data. Email alex@genantis.com. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). We do not sell these details or share them with others. We send the email itself through our email provider.
When you ask for our approach
The form asks for your work email address. You can add a question. We also keep the date, a reference number and when the enquiry was reviewed.
After submitting the form, you can download our approach straight away. Alex reviews your enquiry and may contact you personally about it. There is no required call, automatic email confirmation or newsletter.
You need an email address to submit the form. Adding a question is optional. The form does not accept file uploads.
Do not send an RFP, attachments or confidential information yet. We first agree which files you may share and how.
Why do we use your information?
We use your enquiry to provide the information and contact you request. These are steps taken at your request before a possible agreement.
For security and basic usage measurements, we rely on our legitimate interest. This means we want to limit misuse and see whether the website works well. We explain below what information is needed for this.
We do not use your enquiry for a newsletter or advertising profile. We do not sell your enquiry details.
Who processes the information?
Alex handles your enquiry. Cloudflare provides the website, security and form storage. The enquiry database is in the European Union.
Cloudflare also processes technical data like your IP address to deliver and protect the website. This may happen through its international network. Storing enquiries in Europe does not mean that all processing happens in the EU.
Cloudflare describes its arrangements for processing and transfers outside Europe in its data processing terms. You can find more information in Cloudflare’s privacy policy.
Do you email us directly, or do we reply by email? Then the email services used also store those messages.
How long do we keep your enquiry?
We delete enquiries older than 90 days from the form database. This happens at the next valid enquiry or usage event. If no visit triggers one of these actions, deletion may happen later.
This cleanup applies to the form database. We keep separate emails as long as needed for your question or ongoing work. If the law requires us to keep information, we keep it for that period.
Would you like your information deleted sooner? Email alex@genantis.com.
Measuring visits and limiting misuse
Website use
Cloudflare Web Analytics measures visits and page performance without analytics cookies or tracking profiles. See the Cloudflare Web Analytics documentation.
We also count daily use of buttons, downloads, the calculator and the interactive example. These counts contain only: day, action type, place on the page and number of times. They contain no email address, question or IP address. We do not send the amounts and hours you enter in the calculator.
Protecting the form
To limit excessive requests, we temporarily turn your IP address into a code. The code changes each day and for each type of request. This is called pseudonymisation: the code is not anonymous data.
We store this code separately from enquiries and usage counts. We delete codes from previous days at the next valid enquiry or usage event.
The security check may temporarily reject a request. If you cannot submit the form, you can email Alex directly.
Viewing or deleting your information
You can ask to access, correct or delete your information. You can also ask us to restrict its use or provide a portable copy. Data protection law sets conditions for these rights.
You can object to use based on our legitimate interest. Email your request to alex@genantis.com. We normally respond within one month.
You can also file a complaint with the Dutch Data Protection Authority.
